PayKeeper · for Mac
The contractor’s office, on the Mac.
Job cost, payroll entry, pay applications and the crew’s safety forms — fed by their phones, so nobody keys anything twice.

One email when it goes live. Nothing else.
The office end of SiteSuite.
The crew keeps time and safety records on their phones in CrewKeeper; the estimates and proposals come from YEStimator on the iPad. PayKeeper turns all of it into job cost, payroll and billing — built by a contractor who ran a small construction company for twenty-seven years.
Job cost, live.
Every job on one page: the contract, the change orders, what is billed and what is owed. Hours by category against the budget, labor cost, expenses, and the margin to date — budget-versus-actual from the estimate the job was sold on, with no re-entry.
Payroll without the double entry.
The week’s hours by person land here from the crew’s phones, ready to check. Produce the entry sheet for your payroll service, or the hours by person for whoever runs the checks. Workers’ comp by class and quarterly totals if you track them; a burdened labor rate by year if you don’t.
Your safety program, under control.
A safety program adds document control: your safety program, policies and job manual as controlled documents with revisions, approvals and signatures, the register of every form and template, and a checklist that reads your own documents and says what is still open.
Who is trained, and who needs what.
The training matrix by role, and a Who Needs What view for every person on the crew — the certifications and acknowledgements they hold, the ones they owe, and when each expires.
The crew’s safety forms, filed from the office.
The pre-task plans, toolbox talks, site audits and equipment inspections the crew signs on the phone are filed into the job’s folder from the office seat. The activities, topics, audit questions and inspection checklists are yours to edit; a standard set comes with the app.
Safety programs
Document control, as a yearly add-on.
PayKeeper on its own keeps the books and the crew’s forms. A safety program adds document control — and for metal building assemblers, the AC 478 Program — the accreditation the MBCEA champions — is built to the IAS criteria clause by clause, with its own free trial. Already accredited? Bring in your management system, your signed matrix and your policies as they stand; nothing is asked of them.
Billing the way contractors bill.
Pay applications on a schedule of values, with retainage, in the AIA style. Time-and-material and service-agreement invoices. Job numbering your way, and a flag when a contract is waiting to bill.
The job folder, your way.
Files into the folder tree you already keep in Dropbox, OneDrive, Google Drive or iCloud Drive — by client and job, by job name, or by job number. The subfolders a new job starts with are yours to set.
Built for the office.
The owner’s seat and the bookkeeper’s seat on the same books, with the owner’s account holding the settings and the archive. Years of finished jobs kept in a compact archive that still answers “how did that one come out?” A nightly backup you can restore from.
Private by design.
Your data lives in your own iCloud. We run no servers and never see it. Works online or off; syncs when the connection is back.
Works with your accounting
Keeps the job side. Feeds the rest.
SiteSuite handles the job side of a construction company — estimating, contract management, time recording, job cost, the payroll week and the billing documents — and hands your accounting system exactly what it needs, when it needs it. Your bookkeeper keeps QuickBooks, and nothing has to move.
SiteSuite handles
- — Estimates, proposals and the budget they become
- — The contract, its change orders and its schedule of values
- — The crew’s hours and the labor cost, by job and by week
- — Job cost against the budget, live
- — The crew’s safety forms, the job folder and the archive
And hands to accounting
- — The payroll entry sheet, ready for your payroll service
- — The pay application, AIA style, ready to send and to book
And takes one thing back: the job’s expenses to date, from your accounting, so the job cost is whole — and how each job came out stays on your own screen.
Ten days to look around.
A guided setup asks only what it needs and explains every choice. A new company has ten days before a plan is needed, and every plan starts with a free month. PayKeeper comes with a SiteSuite plan — one plan for the company, bought here or in CrewKeeper, covering the crew’s phones, the estimator’s iPad and this desk. The owner’s seat never counts.
PayKeeper keeps the books, so you can run the jobs.
Requires macOS 15 or later. Works with the accounting system you already run.
